This article describes how to export the Planner entities in a View to an Excel-file to access and work with the data this way.
To export planner entities to excel
- In Planner, click Overview to open the Gantt chart that shows the Marketing activities.
- In the toolbar in the top right corner click the paperclip icon ( ) called Export to Excel.
- A dialog is opened where you can define what should be exported to Excel.
- Select what languages you want to export.
- Select how the CVLs should be exported. Default is to only export the CVL-key but you can choose if you want to only export the CVL-value or if you want to export both the CVL-key and the CVL-value.
- Select what Entity-type you want to export data about and which of the fields for that entity that are relevant to export. You also have the possibility to add another related entity to add to the export and can select which fields that are relevant for this entity in the export.
- Click the Export-button in the top right corner of the dialog to start the export.
- The dialog closed and a background job is started to create the Excel export file.
- An alert dialog is opened informing about where you can find the generated file.
Click OK to close the dialog. - Click in the top menu to find the generated file.
- Click on the download-icon to download the file to the browser to open it up.
- Depending on your settings in the browser the file can be accessible in different ways. Click on the downloaded file to open the file and view its content. The file should contain the entities and fields that you selected when you configured the export.
To save the settings to reuse at another time
- Follow step 1-6 above to make your settings of what you want to include in the Excel export.
- Click the Save As-button in the top right corner of the dialog to save the settings for later use.
- A new dialog is opened to enter the name of the saved settings.
- Enter a name in the field.
- Click OK to save the settings.
- The settings are now added to the Open saved setting dropdown list at the top of the form.
- When you select a setting from this list all the fields are populated according to the saved setting and can be used to export data to Excel.
To delete a previously saved setting
- In Planner, click Overview to open the Gantt chart that shows the Marketing activities.
- In the toolbar in the top right corner click the paperclip icon ( ) called Export to Excel.
- A dialog is opened.
- In the dropdown list Open saved setting in the top of the form you select the setting that you want to delete.
- Use the Delete-button in the top right corner of the dialog to delete the saved setting.
- A confirmation dialog is presented. Click OK.
- The setting is removed from the dropdown list Open saved setting.
