About lock entities functionality?
Lock entities is a functionality within Enrich. A user can lock a certain entity such as a Product or Item to prevent other users from editing it.
When to use lock entities functionality?
If a user is working on a certain Product and enriching the data for specific time period (e.g., that particular week) a way to prevent other users within the organization to enrich the data for the same Product could be by locking that Product. Of course if there is a use case to prevent certain users from always enriching data then this could be managed through permissions.
A user can run a Query for all entities that have been locked. Also, as an admin a user can unlock all entities from Enrich or Control Center.
To unlock entities as an admin user
As an Admin you can see all entities that have been locked in Control Center. This can be managed under Locks.
Within the Lock application in Control Center a user can see a list of all entities that have been blocked. Additionally, the display description of the entity is visible along with the information about the user who locked it. From here a user can select any of the entities to unlock them.
To unlock the entities that you have locked
If you are not the Admin then you need to unlock the entities from Enrich. A quick way is to run a query for all entities that have been locked by you and choose to unlock them. Unfortunately, to unlock the entities it must be done individually since there is no mass update functionality in terms of locking/unlocking.
You can use the tip of Turning Tasks into To-Do Lists to go though your query with locked entities.
If you lock an entity then another user will not be able to unlock it unless he/she is an Admin.
You find the lock icon in the entity toolbar:
To use lock entities functionality
From the Enrich a user can open any entity such as a Product. View the entity toolbar and click the lock icon which will lock this entity.
Once a user has locked an entity there will be a small lock icon next to the Entity display name.
The lock is also visible from the Enrich Dashboard if you have stared the entity.
Q&A
Q - Can you search for locked entities?
A - Locked entities are searchable via Quick Search. A user can run a Query to find Locked entities by using Locked By.
To identify all Locked entities except your own use Locked By> Not Equals > You . If you want to see your own Locked entities, that you have looked. Then do Locked By> Equals > You. However, it is not possible to use the Query and search for all Locked entities.
Q - Do locks "expire" after a certain time?
A - Locks do not expire after a certain time. Once an entity is locked, it will remain locked until an admin, or the person who put the lock in place, removes it.
